OrbitOverflow hides some features based on role, organisation membership, and feature permissions. For example, Notes, Messages, Reports, Reminders, and Friends only appear when your account is allowed to use them.

permissions menu navigation roles missing feature

This normally means the account exists but is waiting for payment, license activation, or administrator approval before workspace access can continue.

Completed tasks are locked. Once a task is marked completed, OrbitOverflow blocks edits, deletion, image removal, and some sharing actions to preserve the work record.

task edit delete locked completed

Only personal tasks can be shared through the friend-sharing workflow, and the receiving user must already be on your friends list. Completed tasks also cannot be shared.

Team members can usually post updates, but the task owner controls the main task record, checklist editing, and completion.

Check whether the user is still in the organisation, still active, and currently assigned to the relevant team. Team-task access follows actual team membership.

Open Reports, set the date range or task filter you need, enter a valid email address, and use the Send Report action. Single-task and team-task report options are also available when relevant.

The repeat-until date cannot be earlier than the main reminder date. The reminder also still requires a title and a valid starting date.

Attachments can fail when the file type is unsupported or the file is too large. Messages only allow supported image formats, while notes support broader file attachments with size limits.

Storage usage counts files and images uploaded across tasks, notes, messages, tickets, and board cards. If any single media table is missing on your database (which can happen after upgrades), the counter skips it gracefully and continues counting the rest.

storage 0 zero usage counter missing

Each license plan includes a storage limit (100 MB for free/trial, 1–10 GB for paid plans). If your total uploaded media exceeds your plan limit, new uploads are blocked until you delete unused files or upgrade your storage from Account Settings.

upload rejected storage quota limit blocked

Go to Account (or Organisation for org members) and look under Media Storage. The section shows a usage bar with percentage, and a collapsible table listing every file with its type, source, size, and date. Click any filename to preview the image or download the file before deciding to delete it.

When your media storage reaches 90% of your plan limit, OrbitOverflow sends a one-time notification and shows a red warning bar at the top of every page. The notification will not repeat for 7 days. Upgrade your storage plan or delete unused files to avoid upload failures.

storage warning notification 90% full alert

Deleting a task now removes all linked items in one operation — images, update files, checklist items, subtasks, shares, and dependencies are all cleaned up automatically so no orphaned media remains.

Create a ticket → send it to your board using "Send to Review". The board drives the workflow: Backlog is for assignment, Ready for GitHub auto-creates a GitHub issue, and Ready for Merge auto-creates a pull request. Each step updates the ticket status automatically.

First, ensure the card reached "Ready for GitHub" so the GitHub issue and branch were created. Then on "Ready for Merge", the PR is opened from that branch. If the branch was deleted on GitHub, move the card back to "Ready for GitHub" and forward again to recreate it.

For personal use: open Account → GitHub Integration and paste a GitHub Personal Access Token with repo scope. For organisations: the org owner sets it under Organisation → Settings → GitHub Integration. The org token is shared by all members; personal tokens override for personal boards.

Trial accounts are restricted to Dashboard, Friends, Messages, Release Notes, and Help. Feature Visibility settings are hidden, and you cannot use GitHub integration, reports, projects, tickets, notes, reminders, or boards until you activate a paid license.

Look for the dotted drag-and-drop zone on forms that support attachments (tasks, tickets, notes, messages, board cards). You can drag files in, click to browse and select multiple items, or paste from your clipboard. Image previews appear before you submit.

Checklist items now use AJAX — toggling complete/incomplete or deleting an item happens instantly without a page reload. Your scroll position stays put.
